Schramm uses different components across models, and even two machines with the same model name can have different revisions depending on the manufacturing year.
Schramm's customer portal (schramm.com, accessed January 2025) requires the model and serial number before it shows the parts list. If the system forces that, there's a reason. Use the same discipline when you call or email a dealer.
I learned this in 2020, my first month in the job. A driller asked me to order 'the same filter as last time.' I did. It was the wrong filter because the other rig had a different hydraulic system. The vendor took it back, but the job site lost two days waiting for the replacement. My first week, and I'd already made the classic error.

A week became two, and two became three. The rig was down, the client was calling, and I had nothing but a vague memory of a phone call.
The worst part was, it didn't have to happen. If I'd asked the vendor to confirm the lead time in an email, we would have realized it was coming from a warehouse on the other side of the country. 'In stock' didn't mean 'in our local warehouse.' It meant 'available from the manufacturer, shipping in 10-14 days.'

I didn't take that seriously until 2022.
I ordered a batch of filters from a small supplier that undercut every other quote. The parts were fine. But they sent a handwritten receipt with no line items, no purchase order number, and no tax breakdown. Finance rejected the expense. I had to work out an awkward arrangement with my department budget to cover part of it. That was $300 I ate for no good reason.
Now, before placing a PO, I confirm three things: the vendor can issue an itemized invoice, the invoice includes our PO number, and they accept our standard payment terms. If a vendor can't handle basic invoicing, I don't care how good their price is. It's not a real price if accounting can't process it.
Step 6: Sort out delivery and receiving before the shipment leaves
This is the step most people ignore. They assume the order is complete once the part is boxed. But in my experience, more problems happen in the last mile than in the first.
In 2024, we had a $2,800 piston shipped to the right address but on a Friday afternoon. The warehouse closed at 3:00. The truck showed up at 4:45. The piston sat on the truck until Monday because the driver couldn't leave it without a signature. The part itself was never an issue. The delivery was.
Now I tell every vendor exactly where to ship: the receiving warehouse, not the main office. I ask for the delivery window, and I confirm someone will be there to sign. If it's a small item, I might ship to the job site, but I always include a gate code and the name of the driller or site supervisor. A part that can't be received is no better than a part that doesn't exist.
Step 7: Stock the critical items that stop production
The first time we waited two days for a $90 filter, I was annoyed. The third time, I was done. That's when I created a stock list for our five Schramm rigs.
In late 2024, we identified ten fast-moving parts: filters, seals, O-rings, sensors, and one specific hydraulic hose that seems to fail every 18 months. We keep at least one of each in the office inventory room. This isn't hoarding. It's a calculated decision based on failure history and lead time.
The math was simple. The down cost of a rig is much higher than the cost of holding a $90 filter. Our accountant prefers the stock list because it cuts emergency freight charges and reduces overtime for the mechanics.
