Schramm Drill Rig Parts: The Procurement Checklist I Use Before I Sign Another PO

I'm an office administrator for a mid-sized drilling services company. I manage parts and service ordering for a fleet that includes Schramm T130 and T450 rigs—roughly $600,000 a year, maybe a little more depending on projects—across 6 to 10 active vendors, and I report to both operations and finance. But I've seen a quote for the wrong revision turn into an expensive mistake after freight, labor, and downtime. If a vendor gives you a price without asking which machine it's for, treat that as a warning sign.

2. Know whether you're buying the Schramm part number or a replacement that merely fits

Here's something vendors won't tell you: compatible is not an engineering certification. It's a general statement that can be based on one test, a similar-looking part, or supplier confidence. Ask for more detail.

3. Turn stock availability into a confirmed ship date

Many quotes say in stock. Ask what that means. For some vendors, it means the part is on a shelf. For others, it means they can get it from another branch, or it's on order from a factory, or it's sitting in a container waiting for customs.

Get three dates in writing: the order receipt date, the dispatch date, and the arrival date. If a vendor won't commit to a dispatch date, I don't care how low the price is. In 2024, we paid expedited freight on a stock part that sat for six days before shipping. The freight wasn't the real cost; the missed date was.

4. Compare landed cost, not just the unit price

This is where the value-over-price idea shows up. A quote can be $270 cheaper on the line item and still be the more expensive choice after freight, wire fees, duties, and administrative errors.

When I compared two vendors side by side for the same part number, one was $37 cheaper but located three states away with a five-day transit time. The other was in our region and could deliver the next morning. That next-morning availability saved us a day of downtime, which costs far more than $37. The lower price would have been the worse decision.

Add these to the comparison:

  • Standard freight and any liftgate or remote delivery fees
  • Bank fees for wire transfers or credit card surcharges
  • Customs or broker fees if you're buying across a border
  • Expedited freight if the regular lead time doesn't work
  • The administrative cost of fixing bad paperwork

5. Ask about warranty claims before you pay

Nobody likes discussing warranty after a rig has gone down. But if you don't ask before the sale, you're relying on the vendor's mood later.

Ask:

  • If the part fails, do you replace it first, or do we send the failed part back and wait?
  • Who pays shipping on the replacement?
  • Is the warranty based on the original purchase price or the current list price?
  • What do you require for a claim—photos, a repair report, or a teardown authorization?
  • How long is the warranty period from the ship date?

A vendor who avoids these questions is a red flag. The part should work. But if it doesn't, you need a process, not a debate.

6. Use Schramm's own documentation as the reference point

Every supplier should be able to explain their part in terms of the Schramm part number. If they can't, it becomes hard to verify what you're buying later.

Use the Schramm service manual as the baseline for installation and specification. When a vendor tells you their part is a direct replacement, the correct next question is whether the standard Schramm service procedure still applies. If they claim a safety-related change, ask for that in writing. If they won't send it, that's useful information.

7. Check invoicing and payment details before you send the PO

This step sounds overly administrative, but it's where purchase orders fail. When I started, I focused on technical fit and forgot the paperwork. That was a mistake.

Before I commit to any new vendor, I verify:

  • Can they issue an invoice that references our PO number?
  • Do they accept our standard payment terms, or do they require prepayment?
  • Can they provide a commercial invoice if shipping internationally?
  • Do they quote in the currency we need?
  • Are there minimum order quantities or hidden setup fees?
  • Can they provide tracking through a carrier we can use?

A low quote doesn't work if finance can't process the invoice. I once approved a vendor because the price was right, but they could only send paper invoices by regular mail. Finance rejected the first two because they arrived late. I spent hours fixing an order that should have been simple.

Mistakes I Still See on POs

Even after you've done this a few times, these patterns appear:

  • Ordering by model name only and skipping the serial number check
  • Believing a stock status without a confirmed dispatch date
  • Comparing only the unit price and ignoring true landed cost
  • Setting up a new vendor without confirming their warranty process
  • Accepting verbal lead times that never appear on the order confirmation
  • Letting a supplier ship without the PO number on the packing slip

One more caution: if a supplier says you don't need a PO number because they know you by name, that's not a convenience. It's a future accounting headache. In a company with multiple rigs, employees, and cost centers, the PO is what ties the part to the job. Without it, the invoice goes nowhere.

Final Thought

In procurement, price matters. But price only matters after you've confirmed the part number, the lead time, the warranty, and the paperwork. A cheap part that arrives late, or has the wrong revision, or can't be invoiced correctly is not a cheap part.

When I look at a quote for Schramm parts now, my process is simple: verify the machine, verify the part, verify the delivery commitment, and then review the price. That sequence has saved me more money than accepting the lowest bid ever did.
